1. Scope of This Policy
This Cancellation & Refund Policy applies to self-serve purchases of Varcio subscriptions and related billing events unless a separate written agreement, enterprise order, or invoice-backed commercial arrangement expressly provides otherwise.
The service is digital and subscription-based. Fees are ordinarily charged in advance for the billing period selected at checkout or stated in the applicable order documentation. Nothing in this policy is intended to limit any non-excludable statutory rights available under applicable law.
2. Cancellation of Subscription Services
You may cancel an active subscription before its next renewal date. Unless otherwise stated in the product or in a written agreement, cancellation prevents future renewal and the service remains available through the end of the current paid term.
- Plan upgrades, downgrades, and scheduled changes take effect in accordance with the pricing and timing rules stated in the product or applicable order.
- Trials, promotional access, and post-trial transitions remain subject to the specific terms presented with the applicable offer.
- Cancellation of a subscription does not cancel third-party cloud usage, infrastructure commitments, or charges billed directly by external providers.
3. General Refund Position
Except where required by law or expressly approved in writing, fees already charged are non-refundable, including for partial billing periods, unused service time, unused seats, unused credits, wallet balances, or later-effective downgrades.
Varcio may review refund requests or billing corrections in limited circumstances, including:
- duplicate charges caused by payment or processing error;
- unauthorized charges confirmed after reasonable review; and
- charges collected after a timely cancellation where our records show the renewal should not have occurred.
4. Exclusions and Non-Refundable Amounts
- Cloud-provider charges, marketplace fees, data warehouse costs, and other third-party charges are not refundable by Varcio.
- Professional services, onboarding services, and custom work already performed are non-refundable unless otherwise agreed in writing.
- Promotional credits, goodwill credits, and discount values do not convert into cash except where required by law.
Where a refund is approved, Varcio may offset the amount against unpaid charges or return it to the original payment method, or by another lawful route associated with the original billing transaction.
5. Payment Provider, Bank, and Issuer Terms
Where installment, financing, or card-issuer facilities are made available through a payment provider, bank, or issuer, those facilities are governed by the relevant third-party terms and processing rules.
If a refund is approved, Varcio controls only the merchant-side refund instruction. The timing and treatment of statement credits, installment adjustment, interest, fees, or loan closure remain the responsibility of the relevant payment provider or issuer.
6. Billing Disputes and Contact
For billing questions, disputed charges, or refund requests, contact billing@varcio.com. For general account or support assistance, you may also contact support@varcio.com.
Please include the organization name, invoice number or payment reference, transaction date, and a concise description of the issue to assist with review.
